Hotel Accommodations - Room Blocks

Modesto will be financially responsible for the following costs:

  • Site visit/LOC meeting rooms
    • 40 room nights to be used anytime between September 1, 2013 and July 1, 2014
    • Night before Stage Finish:
      • 200 rooms (60-40 ratio of doubles/single rooms)
      • All hotel-related parking expenses
    • Night of Stage Finish:
      • 350 rooms (60/40 ratio of doubles/single rooms)
      • All hotel-related parking expenses

Modesto will secure the following additional rooms at a cost not to exceed $90 all-inclusive rate (including all local and state sales taxes and fees):

  • Night before Stage Finish:
    • 120 rooms (60-40 ratio of doubles/single rooms) for a total of 240 advance rooms
  • Night of Stage Finish:
    • 150 rooms (60/40 ratio of doubles/single rooms)
      • This is not a guaranteed hotel room purchase amount

All hotels will meet the following requirements:

  • No more than three hotel properties
  • Be a minimum of a 3-star hotel property and provide television viewing of the Tour’s broadcast partner’s network (NBC Sports Network)
  • Be within close proximity to the finish line
  • Located in close proximity to each other
  • Be full-service properties with banquet facilities
  • Complimentary self-parking
  • Complimentary wireless internet in public areas, meeting rooms, and guest rooms
  • Be pre-approved by AEG
    *Individuals and teams will be responsible for their own incidental charges; hotels shall not require credit/debit card pre-authorizations in excess of $50 per person or $100 per team.

Modesto offers oversized, richly appointed guest rooms and delectable dining all very close to the Finish Line/Downtown Modesto. The perfect balance of location and relaxation... and yes, sweet dreams are a standard amenity at all five of our prospective hotel properties:

Parking

Modesto will provide the following parking as well as suggested directions to each parking area:

Mechanics Work Area: a sizeable portion of the Headquarter Hotel parking lot (approx. 260 parking spaces) with hired overnight security which will be on-site between 7 p.m. and 7 a.m. Access to water and power will also be made available at host city expense. (This will likely be the Modesto Centre Plaza East Parking Lot located along 11th Street between K and L Streets)

Team Parking: a sizeable parking lot (approx. 160 parking spaces) in close proximity to the Finish Line. (This will likely be the Stanislaus County Free Library parking lot located between 15th and 16th Streets and I and H Streets)

VIP Parking: parking for approx. 200 vehicles adjacent to the Finish Line. (This will likely be the City-owned parking garage on 11th Street between I and J Streets)

Festival Event Parking: parking in close proximity of the Lifestyle Festival/Finish Line for approx. 75 vehicles/festival vendors. (This will likely be the City-owned flat lots along the west side of 9th Street)

Crew Parking: parking will be secured at the Stage Finish location for the construction crew vehicles. (I Street will be secured beginning at 5:30 p.m. the evening before the event – crews will be able to park along I Street and all side streets as needed)

Breakaway Mile Parking: parking for approx. 75 vehicles adjacent to the Finish Line. (This will likely be the flat lot located at the corner of 10th and I Streets)

Media Parking: parking for 50 vehicles within close proximity of the press work room/press conference (This will likely be the City-owned flat lot at the corner of 10th and H Streets). Additional parking will be made available for up to six (6) television satellite trucks to accommodate like shots at the Finish Line. (This will likely be on the south side of I Street along 12th Street)

Staff Event Parking: parking for approx. 100 vehicles adjacent to the Finish Line. (This will likely be the City-owned parking garage located on 9th Street across from the Doubletree Hotel)

Crew Security: Modesto will provide security for the build crew graveyard shifts which begin the evening prior to the event. Hours of security operation will be 7 p.m. to 7 a.m. and will include the TV compound and Finish Line footprint.

Meals

Modesto is home to diverse and varied dining opportunities and we look forward to filling the bellies of the cyclists and the Tour entourage.

Media Lunch/Dinner: International, National and Local media alike will never go hungry while in Modesto! A lip-smacking lunch and delectable dinner will be provided in a “green room” type setting adjacent to the media work room.

  • Lunch: enough to feed approx. 75 hungry members of the media will be served at 1 p.m. on race day.

  • Dinner: enough to feed approx. 75 deadline driven media will be served at 5 p.m. on race day.

  • Snacks: snacks and refreshments will be made available throughout the day and will also be replenished as needed.

  • The catering agreement and menu will be submitted to the Tour’s media operations team two (2) weeks in advance. As always, Modesto will have a media work room/press conference team available to ensure a pleasant experience by not only the working media, but the Tour’s media operations staff. A “Taste of Modesto” welcome bag will also be provided to each member of the media and each of the Tour’s media operations team.

  • Rattlesnake Pasta (spicy)

  • Sides: Cesar Salad, Rice Pilaf, Assorted Roasted Vegetables


Team Dinner: Modesto stands ready and able to nourish and replenish the athletes and their team support personnel (approx. 350 individuals in all) the night of the Stage Finish. Dinner will be prepared and served according to the menu specifications provided by the Tour’s Operations Director. In addition, the dinner will be served in the Team Hotel and will be arranged with 40 round tables seating 10 people each.

Team Breakfast: Modesto will greet the 350 athletes and support personnel with sunshine, smiles and a warm breakfast the morning after the Stage Finish. After all, breakfast is the most important meal of the day – especially when you are embarking on a 120 mile road race! Breakfast will be prepared to the menu specifications provided by the Tour’s Operations Director and will be served at the Team Hotel with 40 round tables seating 10 people each.

It is understood that if the teams transfer the night before the Stage Finish, the host city is financially responsible for an additional Team Dinner and Team Breakfast.

Finish Crew Breakfast: Modesto will serve up a warm and nutritious breakfast the day of the stage finish for the finish line construction crew and finish advance staff (approx. 30 people). Breakfast will be served no later than 6:30 a.m. at the Finish Line.

Auxiliary Spaces

Media Work Room: This critical work space will be available up to 24 hours prior to the Stage Finish. It will be in close proximity to the Finish Line area (likely will be at the Gallo Center for the Arts in the large theatre) with approx. 2,000 square feet available for work space and will be operational from 8 a.m. on race day through at least six (6) hours after the end of the race. The following elements will be available in the Media Work Room:

  • 150 chairs
  • Fifty (50) 6-foot skirted tables
  • Fifteen (15) 110v outlets and power strips for each table (50 total)
  • Two (2) high speed color copiers which collate and staple as well as 3,000 sheets of paper
    • Copiers will be installed in the media office portion of the media work room and will print a minimum of 30-50 pages per minute. Copiers will come with a service agreement to include on-site maintenance from 9 a.m. to 9 p.m. on race day
  • Two (2) dedicated phone lines
  • Two (2) open internet connections with minimum upload/download speeds of 5 Mbps as well as WiFi for approx. 200 clients
    • Open ports
    • A technical contact throughout the race and close of media room
    • Drops available by 7:30 a.m. through close of media room
  • Cable or satellite service that provides the NBS Sports Network hooked up to each of the four (4) HD televisions (min. of 46 inches) to project live race coverage
  • One (1) screen and projector to be hooked up to a laptop computer
  • Sufficient trash and recyclable cans will be available and maintained
  • At least four (4) volunteers to assist press room operations staff
  • Three (3) easels

Press Conference Area: This exciting and live-broadcast location will likely be set up at the Gallo Center for the Arts in the smaller theatre which will provide for ideal acoustics and lighting. The following elements will be available in the Press Conference Area:

  • Approx. 1,500 square feet at a minimum
  • 100 chairs arranged theatre style (or an actual theatre!)
  • Three (3) 8-foot skirted tables for dias on platform (or stage)
  • Two-tiered risers for media cameras facing dias (or a designated section higher than the media will be seated in the theatre)
  • Four (4) 110v outlets with power strips
  • One (1) working phone/phone line for teleconference capabilities
  • Security to monitor/check credentials

Internet Lines: In addition to the media workroom needs, Modesto will deliver two seperate open internet connections to the TV compund with minimum upload/download speeds of 20 Mbps per line

  • Provide static IP address per drop or unlimited DHCP addresses if DHCP is provided
  • Open ports
  • Provide modems or CAT 5e/6 cables for use with Tour WiFi routers and sufficient cabling to the production compound
  • Technical contact during the race
  • Drops to be available no later than 7:30 a.m. and deactivated by approx. 6:30 p.m.

Medical Office: A suite or meeting room at the Team Hotel will be made available with a nearby bathroom.

Commissaires Meeting Room: A small conference room will be available for approx. 8-10 people. It will be close to the finish line (likely located at the Gallo Center for the Arts) and available immediately after the race – light refreshments will be available as well.

Operations Office: A suite or small conference room at the Team Hotel will be made available and will accommodate 8-10 people.
